Right to Work Update

Following a period of procurement, the PPC department have identified and secured a Home Office certified IDVT provider: Trust ID.

Trust ID will enable the University to remotely verify the Right to Work status of UK/Irish Passport Holders. It is hoped that this activity will provide an enhanced onboarding experience whilst providing greater efficiencies for the University.

The provision has successfully been piloted for the engagement of External Examiners and Panel Members over recent weeks. PPC will now roll out across the University to be fully operational for the new academic year.

Key Points

  1. Candidates will submit a copy of an in-date UK/Irish passport to a secure web-based form for Trust ID to verify. Following verification, the University will be notified and access the web-based portal to download the PDF copy of the verification.
  2. It is important that following IDVT verification the University undertake a ‘likeness’ check of the individual alongside the PDF copy of the passport supplied via Trust ID. It is this activity that provides the University with a statutory excuse against a civil penalty.
  3. Only in-date UK/Irish passports are eligible for verification via Trust ID. For all other permissible manual RTW documentation i.e., out of date UK/Irish passports – these cannot be verified via IDVT technology.
  4. It is important that UK/Irish passport holders are provided with all options to demonstrate their RTW.

Options for Right to Work Checks

  1. Manual Check

An in-person manual right to work check of an individual’s original documentation for those with a UK/Irish passport, Irish passport card or entry clearance vignette. OR a manual right to work check – in the physical presence of the original ‘right to work documentation’ via video call. Documents posted via the University courier (courier link.)

  1. IDVT Remote Check

Identification Document Validation Technology (IDVT) check with a follow-up video call ‘likeness’ check with the University for those with an in-date UK/Irish passport or Irish passport card.

  1. Home Office Online Check (all those with a visa/status under the EU settlement scheme)

An online right to work check and video call using the Home Office Online Right to work Checking Service for individuals with a ‘Home Office Digital Profile’ and ‘Share code’.

Right to work checks must be applied equally to all employees/workers to ensure that we remain compliant with our duty to prevent illegal working and at the same time avoid unlawful discrimination.
